Privacy Notice

What the Maywood Sitters Network collects, who can see it, and what we do not do with it.

Who this notice is from

The Maywood Sitters Network is operated by Maywood Holdings, LLC d/b/a Maywood Concierge, 320 Boston Post Road, Suite 180, Darien, CT 06820. You can reach us about anything in this notice at help@maywoodsittersnetwork.com.

This notice covers the Maywood Sitters Network only. Other Maywood services have their own notices and their own records; nothing described here is shared with them.

What this service does

The Maywood Sitters Network is an availability and coordination service. It helps identify which sitters may be available for a date and time a family asks about, and it lets our operators coordinate that request.

Members who have opted in can find and connect with one another through the service. Limited profile and request information is shared among participating families and sitters as part of that — described in full in "What other members can see" below.

The service deliberately does not do the following, and no part of it is built to:

  • share anyone's contact details as part of ordinary browsing or coordination — contact information is exchanged only through the mutual-introduction step described in "What other members can see" below, and only for the one specific request and pairing it applies to
  • arrange, confirm, or take payment for care
  • employ sitters, or act as anyone's agent
  • set or suggest rates

A family and a sitter who decide to arrange care do so directly between themselves. We describe the limits of our role in the Terms of Use.

Information we collect about adults

We collect only the following about an adult member, and only from that adult about themselves:

  • the name you choose to display, and your email address
  • your home address, checked against an address-validation service
  • one phone number
  • an optional profile photo you upload of yourself
  • for a single request, the address where care would happen, if that is somewhere other than your home — also checked against an address-validation service
  • for a single request, any preference you state for a sitter who can drive your children or has their own vehicle, for specific care tasks you expect help with — for example school pickup or drop-off, meal preparation, or bedtime care — or for specific sitter credentials, none of which ever excludes a sitter from being shown to you
  • for parents, a family-based name to represent your household when a request is shown to sitters, and an optional short "About us" text
  • for sitters, an optional short "About me" text
  • for sitters, an optional claim that you hold a specific credential — for example CPR, First Aid, or a driver's license — and, if you choose, one supporting document per credential, kept private and reviewed only by our operators
  • for sitters, an optional, self-reported note on whether you can drive children and whether you have your own vehicle — never verified by us, and shown to a family exactly as you told it to us
  • for sitters, the single coarse town you serve — derived from your own validated home address rather than typed in separately — and the availability you tell us about

We do not ask for and do not store a date of birth for an adult, a government identifier, payment details, or any document about you — the one exception is the optional credential document above, which only our operators can see.

Two further things are collected automatically, as on any website:

  • Cookies. One keeps you signed in; one carries your email address between the two steps of signing in, and expires within minutes. We do not currently set any analytics cookies — see "Analytics on our public pages" below. There are no advertising cookies.
  • A scrambled form of your network address, on the account-creation form only. It is put through a one-way function with a secret, kept briefly, and used to stop the same source submitting the form over and over. The address itself is never stored, and the scrambled value cannot be turned back into it.

Your email address, your full home address, and any care address on a request are restricted — readable only by you and by our authorised operators, and never shown to any other member. Your phone number is restricted the same way, with one exception: it is shared with a specific sitter, and theirs with you, only after the exchange described in "What other members can see" below.

Information about children

No child is a user of this service, and we do not collect information from children. A parent or guardian enrolling their own household may record, for each child, exactly two things:

  • a label the household chooses — it does not have to be a legal name
  • a birth month, as year and month only

We deliberately do not collect a child's full date of birth, and we do not collect any medical, school, behavioural, dietary, or disability information about a child. There is nowhere in the service to put it.

A child's record is readable only by that child's own household and by our authorised operators. When a sitter is asked about availability, the service derives an age band — for example, that a request involves a toddler — from the birth month at the date of the request. The label, the birth month, and any identifier for the child are not part of what a sitter is shown.

What other members can see

This is the part of the notice we would most want a family to read, so it is stated plainly.

While sitters are considering your request, what leaves your household is:

  • the family-based name you chose to represent your household, and your household's "About us" text if you wrote one — never your own personal name
  • your profile photo, if you have added one
  • the date, time, or recurring schedule you asked about
  • how many children are involved, and their derived age bands
  • a coarse service town — the town, and nothing more precise
  • any preference you stated for a sitter who can drive or has their own vehicle, for specific care tasks, or for specific sitter credentials — shown for reference only, and never used to exclude a sitter from being shown to you

No street address, no postal code, no phone number, no email address, your own personal name, no child's label or birth month, and no free text you wrote on the request is included. Where care would happen contributes only the coarse town, never any part of the address itself.

If you are a sitter, the reverse matters just as much, so it is stated here rather than left to be discovered: when you respond to a request and become one of the options a family can consider, that family is shown the display name you chose, your profile photo if you have added one, your "About me" text if you wrote one, your coarse town, and — if you told us — whether you can drive children and whether you have your own vehicle, shown exactly as you self-reported it and never verified by us. Your email address, phone number and home address are not shown at this stage.

If you have claimed a specific credential — for example CPR or First Aid — and one of our operators has reviewed a supporting document you submitted for it, the family also sees a short factual line, such as "CPR — documentation on file." The document itself is never shown to any family, under any circumstance. That line never claims we have verified your proficiency or the document's authenticity — only that a document exists and an operator has looked at it.

The one exception: if a sitter tells us they are interested in a specific request, and the family then chooses that sitter for it, we share one phone number each way — the sitter's with the family, and the family's with the sitter — so they can arrange the details directly. This happens only after both of those specific actions, for that specific request. A profile being visible, being shown as an option, expressing interest, or being chosen — any one of those on its own — does not share a phone number. No other contact information, such as an email address, home address, or care address, is ever shared this way or any other.

How we use what we collect

We use this information to:

  • set up and maintain your account
  • work out which sitters may be available for a request, using the coarse town, the date and time, and the derived age bands
  • let our operators coordinate a request and resolve anything unusual
  • send you operational messages about your own account and requests, if you have consented to receive them
  • keep a record of decisions the service made, so that we can explain them later
  • protect the service against automated abuse

We do not sell personal information, we do not share it with advertisers, and we do not use it to build advertising profiles.

Messages, and your consent to them

One email is not optional, and we would rather say so plainly than bury it: when you sign in, we send a one-time code to your address, because that code is how signing in works. It carries nothing else, and it is not a marketing message.

Beyond that, the service starts closed. There is currently no way for it to email or text you about a request at all — that part is not built yet. When it is, it will send only to people who have explicitly consented, and it will check that consent at the moment of sending rather than only when a message is queued.

Consent to operational messages — about your own account and your own requests — is recorded separately from any marketing consent, and consenting to one is never consenting to the other. You can withdraw operational consent at any time. Withdrawing it stops the messages and is recorded, so that we keep an accurate history of what you agreed to and when. Withdrawing it may also mean the service cannot coordinate a request for you, because it can no longer tell you anything about it.

With your separate, optional permission, we may send you text messages about your own requests — for example, that a request was received or that a sitter may be available. Texting is off by default and never required to use Maywood. If you opt in, message frequency varies, standard message and data rates from your mobile carrier may apply, and you can opt out at any time by replying STOP to any message or from your account settings.

Service providers

We use a small number of providers to run the service. They process information on our instructions, for the purposes described here:

  • Supabase — the database and the sign-in system that hold your account
  • Amazon Web Services — hosting for the website
  • Google — address validation and address autocomplete, used to check an address you enter is real and to turn it into a coarse town
  • Cloudflare — the check that tells an automated submission apart from a person, used on the account-creation form and when an address is entered

Google Analytics and Microsoft Clarity are not listed above because neither is currently processing anything on our instructions — see "Analytics on our public pages" below for what we have built and have not turned on.

When an address is validated, the address text you entered is sent to the validation service to be checked. We store the validated result and the coarse town; we do not store the raw text you typed, map coordinates, or the service's confidence scores.

Analytics on our public pages

We do not currently run analytics of any kind, anywhere in the service, during this initial Controlled Beta. We have built the ability to measure visits to our public pages only — the home page, the families page, the sitters page, and these policy pages — using Google Analytics (with Google's advertising signals and ad personalisation turned off) and Microsoft Clarity (which records how a page is used, such as scrolling and clicks), and neither is switched on today.

If we turn either on, it will still be scoped only to those same public pages, never to any page where you sign in or enter or view account, household, or request information, and we will raise this notice's version and tell members before the change takes effect — the same commitment we make for any other change described in "Changes to this notice" below.

How we protect information

Access rules are enforced by the database itself rather than only by the application, so a member can read their own household's records and an operator's access is explicit and recorded. We prove them with automated suites that remove controls one at a time and confirm the corresponding test fails without them.

Signing in uses a one-time code sent to your email address. There is no password to choose, reuse, or have stolen.

No security measure is perfect, and we do not claim otherwise. If something goes wrong that affects your information, our named contact for that is help@maywoodsittersnetwork.com.

Keeping and deleting information

You can ask us for a copy of what we hold about you, or ask us to close your account, by writing to help@maywoodsittersnetwork.com. We have a documented procedure for both, and we have exercised it end to end on a test account before opening the service.

When an account is closed:

  • your name, email address, home address, phone number, and any care address on a past request are erased
  • each child's label and birth month are erased once the last adult in that household has closed their account — while another adult in your household still has one, the children's records stay, because they are that adult's records too
  • free text you wrote on a request is erased
  • the shape of past activity remains — that a request existed, for which dates, in which town, and what the service decided
  • the record of consents and withdrawals remains, because it is the evidence of what you agreed to

We keep that remaining record rather than deleting it because it is what lets us answer questions about decisions the service made. Its limits, stated exactly: the content is gone, but the record is still linked to the account it belonged to, and your sign-in identity is retained and permanently blocked rather than removed. That is what stops a closed account being reopened or reused. So the record that remains is pseudonymous — stripped of its content — rather than fully anonymous.

We have not yet set the exact periods for which the remaining records are kept. That is under review, and we will publish the schedule before the service moves beyond this Controlled Beta. We would rather say that than state a period we have not decided.

Your choices

At any time you can:

  • correct your own name, phone number, and address from your account
  • add or remove a child from your household
  • withdraw consent to operational messages
  • ask for a copy of your information
  • ask us to close your account

Removing a child or closing an account does not rewrite past requests: the number of children and the age bands recorded on a request at the time it was made stay as they were, so the history remains accurate.

Depending on where you live, you may have additional rights over your personal information. We will honour a request under any such right that applies to you — write to help@maywoodsittersnetwork.com and we will tell you what we can do and by when.

Children's privacy

This service is directed to adults. Accounts are for adults only, and a child cannot create one or sign in to one. The only information about a child in the service is the label and birth month an adult in that child's own household chose to record.

Changes to this notice

This notice carries a version. If we change it in a way that affects what we collect or who can see it, we will raise the version and tell members who are affected before the change takes effect.
